Your New Role Looks Like This
Working with external contractors and consultants, as well as internal stakeholders, this role is critical to ensuring preventative and reactive maintenance contracts across Australian Unity’s retirement communities and residential aged care portfolio are operating effectively and efficiently. The role is also responsible for liaising with, monitoring and reporting internally in relation to contractors who deliver essential services compliance that keeps our residents safe.
You’ll work closely with the Manager, Asset Performance and Optimisation to ensure compliance with building codes, fire safety regulations and essential services standards with a focus on building and improving contractor management systems while verifying work quality through reporting systems and contractor performance meetings. You’ll frequently liaise with the National Refurbishment Manager and Manager, Capital Works to ensure our panel contractors are delivering best value and highest quality services and our Manager, Maintenance Program Delivery in relation to PPM contracts and renewals. Our Coordinator, Asset Management supports you and the team by taking care of the majority of administrative tasks such as raising purchase orders, ensuring new contractors can access relevant systems, etc.

Based in Melbourne in a hybrid capacity, this role blends office work (primarily), site visits and work from home to support flexibility and role requirements.
- Take a lead role in dealing with all external contractors
- Procure contractors and manage scopes (including preparing requests for proposals/tenders (RFP/RFTs) as needed) and then work with the internal Legal team on contractual documentation
- Improve contractor management systems, including reporting on compliance performance and adherence to maintenance schedules
- Establish and monitor protocols for day-to-day contractors utilised by our site-based teams
- Coordinate with the Maintenance Program Delivery, Refurbishment and Capital Works functions on project scheduling and contractor reviews as required
- Ensure contractors are compliance-checked in our key business systems, Minduna and Rapid Global
- Manage contractor service records, invoice matching and cost coding, supported by the Coordinator, Asset Management

About You
- Well versed in a similar role, ensuring contract compliance, within property/facilities with a focus on supplier and contract management
- Strong understanding of Australian Building Codes and Fire Safety Compliance (fire doors, sprinklers, alarms, dampers, essential services certification)
- Document management skills and systems orientation
- Proven ability to develop, manage and improve compliance and contractor management systems
- Relationship-focused approach with the confidence to provide consultative guidance
- A self-starter who is able to work autonomously while staying connected to the team
