About the Opportunity:
This is a pivotal role that demands exceptional time management and organisational skills, high maintenance of confidentiality, a proactive and flexible attitude, the ability to work autonomously and the ability to oversee a diverse range of support functions across a complex business. Strong stakeholder management skills are critical.
The person in this role is required to work closely with the Group Executive Customer & Marketing to ensure that the business functions efficiently and that the executives are effective in their roles as a result of being highly organised, and always prepared and aware.
This is a unique opportunity to contribute to the establishment of a new leadership function, requiring strong judgement, discretion, and the ability to anticipate needs. Ideal candidates will bring exceptional communication skills, attention to detail, and experience supporting senior leaders within large, corporate environments.
Please note: The successful candidate is expected to work a minimum of three to four days at our Melbourne office.
Key responsibilities include:
- Manage executive commitments and resulting workflow to ensure high priority tasks are completed as required, sufficient time is available to do so, and necessary information and briefings are provided.
- Assist the executive to maintain their daily, weekly and periodic agendas.
- Manage the executive’s diary appointments and preparation / flow of information to ensure that they are effective in their role – and to be done in a way so that all our people, business partners and clients feel they receive an accessible and responsive service from the team.
- Proactively liaise with other executives and staff, joint venture business partners, industry bodies, regulators and other external organisations.
- Manage email, telephone, and other communication to ensure information flow and / or re-assignment of responsibilities is handled as required.
- Administer all room & equipment bookings and catering orders for executive meetings.
- Manage all expenses.
- Manage all travel and accommodation.
- Undertake reconciliation of relevant credit card statements.
- Take the lead in coordinating specific projects that align with the strategic plans.
About You:
You will have a high degree of judgement to ensure the needs of all parties are balanced appropriately and not unmet by the sometimes-limited availability of the GE Customer & Marketing or other executives.
Our ideal candidate will have:
- Extensive experience in support roles for Csuite executives
- Maintain confidentiality due to the sensitivity of the information dealt within the customer, marketing and brand function.
- Ability to work under significant pressure in complex environments.
- Ability to travel and work flexible hours to meet business requirements
- Advanced skills in Microsoft Office suite and proficiency using digital channels
- Business qualification highly desirable
- A willingness to use tech include AI to automate tasks.
