Your New Role Looks Like This:

 

We are seeking a Coordinator, Asset Management to join our team and play a key role in driving the success of Australian Unity’s retirement communities and residential aged care portfolio.

 

In this role, you’ll be at the centre of our asset management operations, managing essential business tools to ensure smooth and efficient processes. As the designated administrator for our computer-based asset management systems (CAFM/contractor) and reporting platforms, you’ll be the go-to keeping everything running seamlessly. You’ll also provide critical administrative and data processing support to our asset management team, ensuring that nothing falls through the cracks.

 

Working closely with our National Asset Manager, you’ll have the chance to contribute to strategic projects and initiative. You’ll help ensure that our asset management processes are top-notch, playing a key part in planning, updating, and reviewing asset information, managing maintenance performance, and supporting the development and implementation of CAPEX projects.

 

This role is ideal for someone who has administration experience within a building/real estate/property organisation and is wanting to pursue their career in the area of facility management.

 

Key Responsibilities Include:

 

  • Assist with the development and implementation of specifications and planned maintenance programs
  • Assist with the provision of training and distribution of information for staff to perform duties in a safe, effective and efficient manner
  • Coordinate and attend internal and external meetings, site specific contractor meetings to keep up to date with building or contractor issues as required
  • Arrange audio/video conferences and webinars where required
  • Participate and comply with all quality management systems and processes
  • Assist with the development of budgets for planned and unplanned maintenance and capital expenditure
  • Work with the Finance team to track and report on budgets and expenditure and assist with budget reforecasting as required
  • Liaise with CAFM system users (site managers, maintenance officers (MOs), Finance team, contractors, etc.) to ensure the system is utilised to its full potential
  • Work with MOs and contractors to ensure work requests are raised and progress through the workflow system within reasonable timeframes
  • Management of the CAFM/Contractor Management systems

 

 

About You:

 

  • Previous Administrative experience ideally within a real estate and/or property organisation
  • Experience within the Seniors Living Sector would be highly preferable
  • Knowledge of Property Management Requirements
  • Strong document management and record keeping capabilities 
  • Proven experience in delivering great customer service
  • Proven ability to develop positive working relationships with a range of stakeholders, staff, customers, contractors and supplies
